How We Help Charities Protect and Grow High-Value Income
High-value fundraising rarely underperforms because of one issue.
Income risk can be caused by weak pipeline discipline, unclear ownership, leadership delay, operational pressure, poor investment decisions, inconsistent systems or propositions that are no longer aligned with the market.
Robson & Mitchell helps charities understand what is limiting performance, protect income where risk is increasing, and strengthen the organisational conditions required for sustainable growth.
Our work spans four connected areas:
Financial Reality
Understanding income exposure, concentration, investment priorities and sustainability.
Leadership & Governance
Improving decision-making, accountability and leadership involvement in high-value fundraising.
Operational Capacity
Removing systems, workflow and capacity constraints that prevent teams from performing.
Income Performance
Strengthening focus, relationship management, pipeline discipline and execution.
We work at different levels depending on what the organisation actually needs — from practical capability-building through to organisation-wide diagnosis and income-protection intervention.
1. Income Performance Assessment
Identify what is actually limiting high-value income performance
When income growth slows, the visible problem is often found in the pipeline. The root cause may sit elsewhere. Unclear relationship ownership can stall opportunities. Leadership delay can slow donor movement. Operational pressure can reduce stewardship quality. Weak data can undermine forecasting. A proposition can lose relevance even when fundraising activity remains high.
The Income Performance Assessment provides a rapid, evidence-led view of the organisation's high-value income reality. We assess four connected areas:
Financial Reality
Income exposure, donor concentration, renewal risk, forecast confidence and vulnerable opportunities.
Leadership & Governance
Decision speed, accountability, relationship ownership, leadership involvement and trustee contribution.
Operational Capacity
Portfolio pressure, CRM reliability, workflow friction, approval processes and the practical capacity available for fundraising.
Income Performance
Pipeline movement, qualification, stewardship, proposition strength, market fit and quality of next moves.
The purpose is not simply to identify where performance is weak. It is to understand why and distinguish between strategic, financial, operational, behavioural, cultural and leadership causes.
You receive
- Headline income exposure
- Priority relationship analysis
- The principal root causes affecting performance
- Leadership and governance activation priorities
- Capacity and workflow constraints
- Immediate stabilisation actions
- A practical 90-day plan
- A concise leadership or board-level findings session
Duration: Two weeks
Best suited to: organisations where income is stable but growth is unclear, forecasting confidence is weakening, or leadership wants an objective view of what is helping and hindering performance.
2. Income Protection Intervention
Protect significant income at risk and restore movement in priority relationships
The Income Protection Intervention is designed for organisations where significant income is already exposed. That may mean important relationships are stalling, forecasting confidence is declining, leadership decisions are slowing progress or operational pressures are creating increasing risk.
This is not a general fundraising review. It is a focused intervention designed to protect income, restore ownership and create movement around the relationships that matter most.
We focus on
- The top 20–30 high-value relationships
- Ownership, prioritisation and credible next moves
- Decision bottlenecks and leadership dependencies
- Operational and behavioural friction
- Organisational and political constraints
- Areas where donor work needs protection from internal disruption
- Proposition and market-fit pressure points
- Live donor conversations, asks and stewardship decisions
How we help
We work alongside leadership and fundraising teams to:
- clarify responsibility for priority relationships
- reset portfolio focus
- unblock important decisions
- establish clearer decision windows and management routines
- activate CEO and trustee involvement where it adds value
- support live donor opportunities and asks
- strengthen proposition and ask positioning
- remove operational blockers
- introduce technology or AI-supported workflows only where they address a proven constraint
You receive
- A priority relationship management approach
- Clear ownership and escalation routes
- A fundraising team focus reset
- Leadership and governance activation
- Removal of priority operational blockers
- Live opportunity and ask support
- An updated income-risk position
- A next-stage stabilisation plan
The outcome
Reduced income exposure, restored donor movement, clearer ownership, stronger leadership alignment and a more stable high-value income system.
Duration: 12–14 weeks
Best suited to: organisations where income risk is increasing and active intervention is required rather than further diagnosis alone.
3. AI Capability for High-Value Fundraising
Use AI where it improves performance, without weakening human judgement
AI can help fundraising teams work more efficiently. It cannot compensate for unclear strategy, poor relationship ownership, weak data or ineffective decision-making.
Our AI support is therefore practical and targeted. We help teams identify where generative AI can improve preparation, analysis and drafting while keeping human judgement, confidentiality and relationship ownership firmly in place.
AI Prompting for Major Gift Fundraisers
This light-touch workshop helps fundraisers use generative AI confidently in day-to-day major gift work. Participants work with realistic fundraising tasks and leave with prompts and practical controls they can use immediately.
The workshop covers:
- Preparing donor and prospect briefings
- Turning meeting notes into actions and follow-up
- Developing meeting agendas and donor questions
- Creating first drafts of cultivation and stewardship plans
- Reviewing proposals for clarity, repetition and unsupported claims
- Testing case for support language
- Identifying gaps in relationship plans
- Using AI safely and responsibly
AI is positioned as a preparation, analysis and drafting tool. It does not replace relationship ownership, ethical research, personalised stewardship, ask strategy or factual verification.
You receive:
- A tailored major gift prompt library
- A practical safe use checklist
- Clear human review and approval points
- Individual action plans
- Examples relevant to your fundraising team
Format: Half-day workshop
4. AI Workflow Co-Development Workshop
Move from isolated prompts to measurable improvements in how the team works
Introducing AI into a poor process rarely improves performance. It often produces the same work faster, while leaving duplication, unclear ownership and weak controls untouched.
The AI Workflow Co-Development Workshop helps fundraising teams redesign a small number of real workflows and test where AI can genuinely release capacity. We identify where automation can help, where human judgement must remain central, and how improvement will be measured.
Suitable workflows include:
- Donor meeting preparation
- Contact reports and meeting follow-up
- Proposal quality review
- Portfolio review preparation
- Research summarisation
- Stewardship planning
- Internal reporting
- First draft donor communications
How it works:
Before the lab, we identify repetitive or slow activities, establish baseline measures and select no more than three workflows.
During the session, we:
- map the existing process
- identify quality and decision risks
- test AI supported alternatives
- establish ownership and review controls
- agree how improvement will be measured
The team then runs a controlled 30-day trial. Two follow-up sessions determine whether each workflow should be stopped, adapted or scaled.
Potential measures
These may include:
- Time required to prepare for donor meetings
- Speed of contact report completion
- Percentage of records completed within agreed timescales
- Level of rewriting required
- Quality or factual errors
- Hours released for donor-facing activity
- Adoption of the agreed process
- Improvement in relationship objectives and next moves
You receive
- Current and redesigned workflow maps
- Two or three tested AI supported workflows
- Role specific prompts and templates
- Human review and confidentiality controls
- An efficiency and quality KPI framework
- A 30-day findings and recommendations summary
Format: One-day workshop, preparation, 30-day controlled trial and two follow up sessions.
Choosing the Right Level of Support
Not every organisation needs a major intervention. The right response depends on the problem.
If the issue is individual capability, an AI Prompting Workshop may be sufficient.
If inefficient workflows are absorbing fundraising capacity, the AI Workflow Co-Development Lab can test practical improvements.
If the underlying cause of underperformance is unclear, the Income Performance Assessment provides a wider organisational diagnosis.
If significant income is already exposed, the Income Protection Intervention provides more active support to stabilise performance and restore donor movement. The distinction matters. A prompt workshop can improve preparation. It will not resolve unclear ownership, leadership delay, unreliable data, organisational friction or weak donor strategy. Equally, an organisation should not commission a complex intervention where a targeted capability or workflow solution would address the problem.
Our role is to identify the level of support the organisation genuinely needs, and avoid introducing complexity where a simpler intervention will work.
What Is Limiting High-Value Income in Your Organisation?
If income performance is becoming harder to predict, the first task is to understand why. We can help you distinguish between a fundraising issue and a wider financial, leadership or organisational constraint, and identify the most proportionate response.
